What to check in the hire terms before you book

The terms below set out the practical checks involved in any vehicle hire request. If something is not clear, phone the booking team before you arrange a car, van, minibus or truck.

What the hire terms cover

Booking acceptance

Your booking only becomes final once the booking team has confirmed availability, the vehicle category, dates, driver details, payment terms and any delivery or collection arrangements.

Driver eligibility

Drivers may need to pass age, licence, endorsement, identity and address checks. Larger minibuses, trucks and specialist vehicles may involve stricter entitlement or operator requirements.

Vehicle availability

The fleet cards illustrate typical vehicle categories. Make, model, body type, transmission, seating, payload and equipment all depend on live availability and are confirmed before you book.

Insurance, deposits and excess

Before the hire begins, the insurance arrangements, excess, deposit, permitted drivers and any approval to use your own insurance must all be confirmed. Cover is not automatically extended to every journey, load or driver.

Mileage and permitted use

Mileage terms differ between services and vehicle groups. Extra approval or different terms may be needed for courier work, commercial truck hire, travel in Europe, one-way rentals and unusually long trips.

Delivery, collection and returns

Delivery and collection arrangements are shaped by the address, timing, vehicle size and access. It remains the customer's responsibility to give accurate location details, provide safe access and keep to the agreed return arrangements.

Cancellations and changes

Check the terms for cancellations, amendments and late returns before you book. Where a vehicle has already been reserved, prepared, dispatched or delivered, charges may apply.

Final operator terms

Your final hire terms are confirmed on the booking call and may vary with the operating company, insurer, payment provider and vehicle supplier involved in the booking.
